NEA Annual Meeting & Representative Assembly: Reimagining a Highly Complex Association Event

The National Education Association (NEA) sought an event partner to reimagine and refresh its Annual Meeting & Representative Assembly (RA). The annual meeting and assembly brings together 7,000 education professionals from across America and is the world’s largest democratic deliberative assembly and NEA’s cornerstone event.

NEA partnered with Hargrove to deliver a comprehensive event solution that could support the scale, complexity, and importance of the meeting while improving flow, functionality, and the overall participant journey. The objective was to create an environment that balanced professional development sessions, exhibits, and large-scale general sessions with the rigorous legislative work of the RA, enabling thousands of delegates to convene, deliberate, and vote on issues shaping the future of public education.

Hargrove approached the NEA Annual Meeting & Representative Assembly with a focus on intentional planning, creative problem-solving, and operational excellence. Each year begins with a detailed analysis of the convention center’s existing layout to design a clear, intuitive participant journey that supports both engagement and efficiency at scale.

The event environment was reimagined to include fully immersive Representative Assembly space, complemented by an interactive village-like layout for exhibits, registration, and gathering areas. This thoughtful zoning improved the attendee journey, reduced congestion, and made it easier to navigate between conference services, exhibits, and official assembly proceedings.
